Administrative Assistant Position
Responsibilities/Duties
Perform all clerical duties as
needed/assigned by Council (Leadership Team of three for the Dominican Sisters
of Houston)
Perform all clerical duties as
needed for efficient office function
Answer telephone/door
Receive all mail/package deliveries
and distribute
Prepare conference registrations
for Council and assist with dues and correspondence for all organizations
(LCWR, DSC, Alliance, CDN, UISG, DSI, et. al.)
Prepare travel arrangements for
Council
Order lunches for meetings
Maintain and order copier supplies,
letterhead, envelopes, etc., office supplies
Act as registrar for Dominican
College record requests
Record and distribute all Council,
Finance & Investment Committee, Staff and misc. meeting minutes.
Prepare and distribute monthly
community newsletter
Annually update and distribute
community directory & feast days/birthdays booklets
Maintain community lists on an
ongoing basis
Maintain community files on an
ongoing basis
Prepare/distribute/manage community
forms
Prepare worship aid, prayer cards,
etc. for funerals
Prepare worship aid for Jubilee,
Advent Brunch and other community celebrations/events
Record RSVP s for various events
Prepare name tags and sign in
sheets, etc. for various events/meetings
Annually update statistical
questionnaire and return to Rome (after review by Prioress)
Performs all other duties as
requested by the Council

cooperatively with other staff members and personnel

Qualifications
- Has an associate or bachelor’s
degree or appropriate work experience
- Has the ability to organize and
effectively manage the high volume and multi-tasked activities of the
office
- Has the written and verbal
communication skills necessary to fulfill the responsibilities as
administrative assistant and to articulate the mission of the Dominican
Sisters of Houston
- Is proficient in the use of
technology – in particular, the Microsoft Office suite
